Purpose: To outline the policies in all Strength & Conditioning and Pound Hall facilities Scope: S&C patrons & staff Policy OR Procedure I.

SAFETY POLICY a. Spotters are recommended and are available at the S & C Desk. b. Users should always inspect the equipment for loose, frayed or worn parts before using. Report any S&C room related injury or facility/equipment irregularity to the staff on duty. c. All members are strongly encouraged to ask S&C staff members for an orientation prior to equipment use. Do not use equipment for purposes other than those noted on the station. d. Patrons must use the emergency off clip while on treadmills. e. Weight clips are mandatory at all times for barbells.

II. FACILITY POLICY a. Patrons are responsible for all S&C policies including those posted on the Rec Sports website. b. S&C staff has the authority to enforce all Rec Sports policies. Failure to comply may result in suspension of Rec Sports privileges c. Patrons must be 18 years old to access S&C rooms. d. Bags of any kind are not permitted in the weight rooms. Recreational Sports is not responsible for lost or stolen property. e. Food, colored drinks, chewing gum, and tobacco are not permitted in all weight areas. f. Personal audio devices should be used with headphones only. g. Proper training attire is required. No street clothes, jeans, or jean shorts allowed. Mid-drift must be covered. Shirts and closed-toed non-marking athletic shoes must be worn at all times. h. All patrons must wipe off benches and pads after use. i. Time is limited to 30 minutes on all equipment. Equipment is first come, first serve. j. Equipment must remain in the weight rooms at all times. k. All equipment must be returned to the designated location after use. l. Slamming or dropping of weights is prohibited. m. No outside equipment is permitted. n. Personal Training may only be provided by Recreational Sports and academic classes. III. PROHIBITED a. Excessive cell phone use. Unauthorized photos or videos. You must obtain written permission from the Director. b. No loitering on the fitness floors. c. Spitting d. Swearing IV. WEBSITE POLICIES a. Machine Use - Instructions are clearly provided on each strength machine. Please ask for additional instruction if you do not understand the instructions. b. Spotters- Spotters are required at all stations in the free-weights area; in particular when excessive weight is lifted over one’s body. Participants shall use extreme caution in moving equipment and weights to avoid potential injury to themselves or others. Staff is available to assist as necessary. c. Clips – Clips are required on all barbells.

d. Safety Bars – Safety bars must be in place while performing heavy lifts inside the squat racks. This includes the Smith Machine. e. Do Not Drop Any Weights – The machines and weights should be used with care. Dropping dumbbells and weight stacks can cause injury, equipment damage, and facility damage. f. Return Equipment – Users must return bars / weights to their proper storage racks. Failure to do so may result in a loss of facility privileges. g. Time Limits – Users should be courteous to others by limiting the length of their workout at a single station and by observing posted time limits when others are waiting. h. Weight Machine Adjustment Knobs – Users should only turn the knob when the weight is completely lowered to the stack. Do NOT attempt to adjust the knob while the weight is in a raised position. This will damage the knob and could result in personal injury. i. Broken Equipment – If weights, pulleys or other parts become jammed, users should not attempt to free them without staff assistance. Report the problem to the fitness staff on duty. j. Inspections – Users should always inspect the equipment for loose, frayed or worn parts before using. If in doubt, do not use the equipment and report the problem to a staff member. k. Keep Body Parts Clear – To reduce the chance of injury, users should keep head and limbs clear of weights and moving parts at all times. l. Do Not Move Stations – The weight benches/stations are to remain at the original location unless it is an adjustable bench with wheels, i.e.) bench with the Smith Machine. In this case, the bench is to be returned to its standard location after use. m. Keep Walls Clear – Weights are not to be propped against the walls, pillars or mirrors due to the risk of damage or injury. n. Use of Barbells Off – or Out of the Rack – For the safety of all patrons and to protect the facility walls, no barbells may be propped against any wall or any piece of weight equipment for the purpose of performing a “functional training” type exercise, i.e., “landmines”. Bars must remain clear of main circulation areas on the fitness floor. o. Power / Olympic Lifts – For the safety of all patrons, no power/Olympic lifts (clean and jerk, snatch, overhead press, squat, and the deadlift) are to be performed in the open floor area. These lifts should only be performed on platforms. Users should exercise common sense before attempting an Olympic lift inside the power rack as there may not be adequate room depending upon the size of the lifter. No dropping of weights is permitted.

Purpose: To outline the emergency action steps in the Strength & Conditioning & Pound Hall facilities  Scope: S&C staff    Policy OR Procedure    I. MEDICAL EMERGENCY OR SEVERE MEDICAL EMERGENCY a. An injury report must be written up following the event and the S&C manager must be notified. If the situation becomes more serious, Emergency Services (911) must be called and the Facility Manager must be notified. II. SEVERE MEDICAL EMERGENCY a. When a severe medical emergency (cardiac arrest, unconsciousness, concussion, broken bone, etc.) takes place employees should notify the rest of the department (Facility Manager) of the situation. The Facility Manager must dial UGA Police (911). The first responder must care for the injury appropriately until the paramedics arrive/he or she becomes too tired to continue. An AED is located in S&C II or at the Admissions Desk. b. Managers: Make sure to document an incident report for the event and gather as much information about patron as possible (without causing further injury or stress) during the emergency period. III. FIGHT OR COMBATIVE PERSON(S) a. Notify the UGA Police at 911 immediately. b. Notify your supervisor, professor, building representative or Dean, as appropriate. c. Remain calm and wait for instructions from the Police. d. Do not attempt to negotiate with the crowd unless directed by the Police. e. Do not attempt to conduct crowd control measures or to intervene unless instructed to by the Police. f. Evacuate the building or other areas as directed by the Police. g. ***Remember, in any situation that a general disturbance/ patron altercation occurs, you must fill out an incident report with patron(s) information and a detailed description of the event. IV.

STUDENT/MEMBER CRISIS RESPONSE a. If you are in contact with a student who appears to be an immediate threat to his or her own safety or that of others, please call 911. b. Crisis situations include: c. Stated intention to commit suicide or inflict serious harm to self  

 

  d. Stated intention or obvious behavior indicating an imminent threat to harm others e. Non-emergency situations in which the student does not pose an immediate threat to self or others, but exhibits behavior revealing a potential for harm may be referred to: f. Counseling and Psychiatric Services (CAPS) at (706)-542-2273 OR g. Office of the Dean of Students at (706)-542-7774 OR University Police at 911 immediately. h. The Behavioral Assessment & Response Council (BARC) is a group of key administrators who assess and determine the appropriate response to students who exhibit threatening behavior to self and/or others. BARC is empowered to take necessary steps to remove from campus any student who may present a direct threat of harm to themselves, to other students, and/or to other members of the campus community. V. ACTIVE SHOOTER a. Ensure your own safety first. If it is possible for you to safely aid patrons and other staff members, use the following information to help clear the facility. b. Notify the Police at 911 or (706) 542-2200 immediately. c. Take the necessary precautions and actions to protect your well-being. d. RUN: Flee the area if you are able to do so safely and avoid danger. e. HIDE: If flight is impossible, lock (or barricade) all doors, and secure yourself in a safe area. f. FIGHT (LAST RESORT): ONLY if running or hiding is impossible, attempt to fight off the shooter. g. Remain in place until an “all clear” is given by law enforcement. h. Take action as a last resort and only when your life is in imminent danger. Attempt to incapacitate the active shooter by either throwing items or with physical aggression. i. Get to safety. j. If you can do so safely: k. Pull fire alarm as exiting. l. Notify all other managers via radio that there is a threat of violence and the facility needs to be evacuated. m. Direct patrons to exit facility using nearest exit. n. Remove vehicle barriers outside building. o. Meet emergency vehicles at the road and tell them any information you have, such as location of threat. p. Keep patrons as far away from building as possible. q. Pound Hall/Wheeler Gym: will notify Police at 9-911 or 9-(706) 542-2200 and should also call Roswell Lawrence (706)542-1266 office or (706)319-1414 cell HSC Coordinator VI. BOMB THREAT a. Bomb threats usually come by telephone. If you receive a bomb threat call, remain calm and obtain as much information as possible from the caller: i. When will the bomb explode?

ii. Did you place the bomb? iii. Who placed the bomb? iv. What kind of bomb is it? v. Why did they place the bomb? vi. What will cause it to explode? vii. What is your address? viii. Where is it right now? ix. What is your name? x. What does it look like? UNDER NO CIRCUMSTANCES IS IT PERMISSIBLE TO USE A CELL PHONE. Notify the Police at 9-911 or 9-(706) 542-2200 immediately to give the information you have obtained. Describe the caller’s voice, any background noises you heard, and the exact wording of the message. Do not touch suspicious packages. Be sure to inform the UGA Police of any suspicious packages, items or people in the area. Follow instructions from the Building Safety and Security Representative and the first responders in regards to evacuation assembly areas. Call admissions desk from a land line at (706) 542-1454 to begin EAP and to physically locate Facility Managers. Pound Hall/Wheeler Gym: will only notify Police at 9-911 or 9-(706) 542-2200 and should also call Roswell Lawrence (706)542-1266 office or (706)319-1414 cell HSC Coordinator i. Then, report to the main lobby to meet UGA Police.

SUSPICIOUS PACKAGES Do not open the suspicious item. If you have opened it, remain calm. Notify the Police at 911 immediately. Do not move the letter or package or examine it further. Keep others out of the area. Close off the area if possible. If possible, limit the use of two-way radios and cell phones near the suspicious item. If the package is leaking a substance or powder and you came into contact with the substance, keep your eyes, nose, mouth, or any part of your face away. Do not touch others or let others touch you. g. Wash your hands and arms from the elbow down with soap and hot water. h. Do not attempt to clean or cover anything that might have spilled from a package. i. Follow all instructions given by the Police. j. Pound Hall/Wheeler Gym: will notify Police at 9-911 or 9-(706) 542-2200 and should also call Roswell Lawrence (706)542-1266 office or (706)319-1414 cell HSC Coordinator

VIII. POWER OUTAGE a. Report the outage to the Physical Plant Work Order Desk at (706)-542-7369 and the Police at 911.

Help co-workers in darkened areas move to safer locations. Secure current experimental work and keep refrigerators and freezers closed. Unplug personal computers, appliances and non-essential electrical equipment. Open windows for additional light and ventilation. Alert patrons to suspend their workout until the power is back on. Check for injuries that may have occurred due to sudden loss of power. Pound Hall/Wheeler Gym: Do not check in patrons that arrive while power is out. i. Follow the instructions given by the UGA Police, Physical Plant personnel and the fire department. ii. Report any noticeable downed power lines to UGA PD.

IX. UTILITY FAILURE a. Immediately report utility failures during regular work hours (Monday - Friday 8:00 a.m. – 5:00 p.m.) to the Facilities Management Work Order Desk at (706) - 542-7456 to report the problem. b. Immediately report utility failures after regular work hours, on weekends, and on holidays to the Police at (706)-542-2200. X. WATER PIPELINE BREAK/ SPRINKLER SYSTEM MALFUNCTION a. If the sprinkler system begins to malfunction OR a water pipeline bursts: b. Immediately notify a manager of the situation. c. Contact the Facilities Management Work Order Desk at (706)-542-7456 or the police at 911, as well as professional staff to notify them of the situation. d. The manager will need to grab the M89 key from the keybox in the safe room and use it to unlock the utility area in the hallway outside of Gym West. e. In the utility area, the manager will proceed to turn off all pipes on the right of the entranceway to shut off the water to specific malfunction area. f. Pound Hall/Wheeler Gym: alert HSC Coordinator, Roswell Lawrence (706)542-1266 office or (706)319-1414 cell and contact the HSC Facilities Maintenance Crew Supervisor on duty (see Pound Hall Procedure) g. To turn off pipes: i. Break the tab that secures the wheel. ii. Turn wheel until it is stable. iii. IF THE WATER MALFUNCTION IS SEVERELY DAMAGING THE FACILITY: Proceed to the very back of the utility room to the main water line. Turn the wheel until it is closed- this will turn off all water within the facility. XI. GAS LEAKS a. Call the Facilities Management Work Order Desk at (706)-542-7456 and the Police at 911 to report the problem. b. Evacuate the area immediately.    

  c. Do not attempt to shut off or manipulate valves. d. Activate building emergency notification procedures to ensure everyone in the building is notified. e. Do not switch on lights or any other electrical equipment. Do not smoke in the area. f. If leak is outside, do not remove any vehicles from the immediate area until cleared by the Police or Fire Department. g. Account for all building personnel once outside and wait for further instructions from Police and Fire Department. h. Pound Hall/Wheeler Gym: alert HSC Coordinator, Roswell Lawrence (706)542-1266 office or (706)319-1414 cell and contact the HSC Facilities Maintenance Crew Supervisor on duty (see Pound Hall Procedure) XII. a. b. c. d. e.

FIRE The EAP will be implemented every time the fire alarm system is activated. If there is a fire in your area, activate the fire alarm If the fire is small and isolated, retrieve the fire extinguisher WE DO NOT CONDUCT UNANNOUNCED DRILLS. Evacuation Plan: Evacuate the building immediately (when the fire alarm is activated, evacuation is mandatory.) f. Pound Hall/Wheeler Gym: i. Manager 1 alert weight room & locker rooms to evacuate ii. Manager 2 alert Wheeler Gym to evacuate iii. Alert HSC Coordinator, Roswell Lawrence (706)542-1266 office or (706)319-1414 cell and contact the HSC Facilities Maintenance Crew Supervisor on duty (see Pound Hall Procedure) Fire evacuation assembly area: g. First Floor: Across the road from Gym West Exit. h. Main Lobby: Walkway in front of East Campus Deck and Surface Lot i. Spec Lobby: Walkway in front of East Campus Deck and Surface Lot j. Third Floor: Walkway in front of East Campus Deck and Surface Lot k. Pound Hall: Parking lots outside of Pound Hall & Wheeler Gym l. Tips for Evacuation Procedures: i. Do not use the elevators. ii. Always use the stairs to exit upper floors and if smoke is present, stay low. iii. Take your personal belongings (purse, wallet, keys, etc.) as long as these items do not hinder your ability to exit the building quickly. iv. Follow directions given by your building’s emergency coordinator, fire department, or the police. v. Assist individuals who may need assistance to move to a safe area.

SEVERE WEATHER/TORNADO/EARTHQUAKE/WINTER STORM  

 

  a. A tornado watch is issued by the National Weather Service when tornadoes are possible in the area. b. A tornado warning is issued when a tornado has been sighted, or indicated by weather radar, in the area. A warning is more serious than a watch. c. Monitor local TV stations, radio stations, NOAA weather radio, weather related Websites, etc., for severe weather updates. d. NOAA weather radio will automatically turn on in the event of severe weather. e. Listen to information about Athens-Clarke County and immediately relay information to managers on duty. f. For lightning storms, turn off treadmills to avoid patron injuries if a line is struck. g. Pound Hall/Wheeler Gym: alert HSC Coordinator, Roswell Lawrence (706)542-1266 office or (706)319-1414 cell and contact the HSC Facilities Maintenance Crew Supervisor on duty (see Pound Hall Procedure) Earthquake i. DROP/COVER/HOLD ii. Take cover immediately under a desk, chair, or table for shelter. iii. Seek shelter between seating rows in a lecture hall or against a corridor wall if in a hallway. iv. Assist others to safety if you can do so safely. v. Do not run outside during the shaking or use the stairways or elevators. vi. If outside, move to an open area, away from buildings. vii. Report injuries and/or building damage to the Police at 911 or (706) 542-2200. viii. Be alert for aftershocks, do not use elevators and evacuate carefully. ix. Await instructions from first responders and do not re-enter buildings until they are deemed safe for re-entry. x. Pound Hall/Wheeler Gym: alert HSC Coordinator, Roswell Lawrence (706)5421266 office or (706)319-1414 cell and contact the HSC Facilities Maintenance Crew Supervisor on duty (see Pound Hall Procedure) Winter Storm h. This Campus implements the following procedures for announcing operational changes during periods of inclement winter weather: i. By policy, the University makes one of three announcements: The Campus is open and operating on a regular schedule; the Campus is closed; or the Campus will delay opening until a specific time. j. An all-campus Email is the primary means to distribute such announcements. The announcement is also posted to the homepage (www.uni.edu). k. Up-to-date information is provided to Athens radio stations as follows: on the AM dial: 960 and 1340; and i. ii. on the FM dial: 88.9, 90.5, 91.7, 97.9, 100.1, 102.1, 103.7 and 106.1.

If inclement winter weather develops overnight, every attempt is made to post announcements and notify media by 6:30 a.m., but if the inclement weather develops after 6:30 a.m. on a school/work day, the same notification procedures are used. m. Please do not telephone the Campus Police, other campus offices, or the news media, as their telephone lines need to be kept open for emergency response.

CHEMICAL SPILL Notify the Police at 911 immediately. Do not attempt to clean up the spill. Remove yourself and others from the area. Cordon off the area and do not let others enter the area. If anyone had contact with the hazardous material, they should be isolated and await treatment by emergency personnel. f. Do not pull the fire alarm unless there is a fire. g. Provide first responders with information about the spill, chemical and the spill area. h. Evacuate the building IF first responders issue the evacuation order according to fire alarm evacuation plan. i. Re-enter the building only when an “all clear” is provided by first responders. j. All patrons must remain on the first floor or Spectator Hallway (outside the building for Pound Hall/Wheeler Gym) until the warning has been lifted. Patrons should be encouraged to stay in the protected areas until the All Clear signal is given either from the Professional Staff or Facility Managers. k. Pound Hall/Wheeler Gym: alert HSC Coordinator, Roswell Lawrence (706)542-1266 office or (706)319-1414 cell and contact the HSC Facilities Maintenance Crew Supervisor on duty (see Pound Hall Procedure)

XV. SPECIAL EVENTS a. If a tornado warning is issued during a special event and there are many spectators, it may not be possible to move everyone to the first floor. Direct spectators out of the main activity areas (Natatorium and Volleyball Arena) and into the Spectator Hallway (Pound Hall/Wheeler Gym: direct individuals to take shelter in Wheeler Gym) b. Overflow Areas: Boxing Studio hallway, Squash Courts A & B, Custodial Hallway, Classroom 119. XVI. MISSING PERSON a. If someone is reported as missing, contact UGA Police at (706) 542-2200. b. Get as much information from the complainant as possible regarding the missing individual. Such as: physical description (gender, race, clothing, hair color, etc.) as well as individual’s last known whereabouts. c. Notify your manager. d. Assist the patron in contacting University Police if they feel it is necessary.

Must dial “9” and then the last four digits for oncampus calls. Call off campus dial “9” and “1”(as needed) and then the number. XVIII. PERSONS WITH DISABILITIES    

  a. It is the responsibility of every employee to assist persons with disabilities out of the building in the event of an emergency. In addition, individuals with disabilities who may require assistance in an emergency should familiarize themselves with the features of each building they are in, including stairways, exits, phone locations, and elevator procedures. S/he is also responsible for identifying her/his needs to faculty members or supervisors and for identifying someone willing to assist them in the event of an emergency. If s/he is unable to locate someone to assist them in case of any emergency, s/he should contact the Emergency Building Coordinator. Individuals with Visual Impairments – Announce the type of emergency, offer your arm for guidance, tell the person where you are going, and ask if further help is needed once you reach safety. Individuals with Hearing Limitations – Turn lights on/off to gain the person’s attention, indicate directions with gestures, write a note with evacuation directions, and assist to safety as needed. Individuals Using Crutches, Canes or Walkers – Evacuate these individuals as injured persons, assist and accompany to the evacuation site if possible, use a sturdy chair (or one with wheels) to move the person, help carry the individual to safety. Wheelchair Users – Check with the individual on their preference, determine if an evacuation chair is available, remove any immediate dangers, and immediately advise arriving first responders of special evacuation cases. XIX. EMERGENCY PREVENTION Preventative Maintenance a. Employees will report any observed maintenance problems as soon as possible to any S&C Professional Staff Member or Maintenance Manager. Hazardous conditions will be reported immediately to the Facility Manager. If after normal office hours notify the Facility Manager and a report should be made to UGA Facilities Management Work Order Desk (706) 542-7456 or UGA Facilities Management Work Orders (after hours/holidays) (706) 542-2000. Hazardous Conditions b. Employees need to maintain awareness of hazardous conditions, such as threatening weather. In such conditions, employees are encouraged to periodically check local news media outlets for updated information. Also, all personnel must be prepared to take emergency actions with little or no warning.

Purpose: To outline the scheduling policies for S&C staff  Scope: S&C staff    Policy OR Procedure   I. SCHEDULING POLICY a. S&C Staff must submit their individual semester availability for the upcoming semester on WhenToWork (www.whentowork.com) by a designated date. b. The S&C Coordinator has the responsibility to schedule the staff based on facility hours and availability of the individual. c. Failure to submit availability by the designated date may result in not receiving shifts for the semester.   II. STAFF SCHEDULING PROCEDURE a. The Staff member must go to the website www.whentowork.com and login using their credentials given to them. b. Once logged in, the Staff member must block off any times they cannot work. c. A new window will open up and the Staff will click on the “Paint Icons” on the left middle area of the screen that are red in color and read “Cannot Work”. d. Lastly, the Staff will highlight the times/days they cannot work and will click “Save” to finish. e. The Coordinator will then Auto-Schedule the staff and accept any adjustments as needed. Staff are permitted to trade or drop shifts as needed as well. f. Managers will have the option to select shifts based on seniority. g. Breaks and holiday schedules will be determined by facility hours and availability. III.

FACILITY TECHNICIAN SCHEDULING PROCEDURE a. Facility Technicians will select their schedule based on availability and it will be entered into When to Work by the Facility Technician Office Manager. b. Facility Technicians are expected to stagger their schedules so that there is at least one Facility Technician present on each week day.

IV.

TRADING/DROPPING SHIFTS-GENERAL POLICIES a. Employees have the option to trade or drop a shift on When to Work, however, they are responsible for ensuring they have coverage for the assigned shift. b. Employees who fail to obtain coverage (recorded on When to Work prior to the start of the shift) will be held responsible for missing the shift unless excused by an S&C professional staff member.

  Purpose: To outline the steps for training S&C student employees   Scope: S&C staff    Policy OR Procedure   I. TRAINING POLICY a. Recreational Sports employee training will take place prior to beginning employment in an effort to familiarize all employees with important policies and procedures. Additional fall and spring semester trainings will be held prior to the beginning of the semester. All staff trainings are mandatory unless excused by a Professional Staff member.   II. STAFF TRAINING DESIGN a. Staff Training is a three-part process that includes: b. Two 90 minute shadow shifts c. 60 minute training with a maintenance manager on preventative maintenance and cleaning d. 120 minute new hire meeting discussing employee expectations and basic employment procedures e. A training agreement will be provided to each new staff member and must be signed off by a staff trainer at the time of training completion. This agreement should then be submitted to the Coordinator for S&C and added to the employee file. III.

MANAGER TRAINING DESIGN a. Manager training consists of two shadow shifts: b. The first shadow shift is the first 60 minutes of an opening shift c. The second shadow shift is the last 90 minutes of a closing shift d. Both shadow shifts will cover detailed manager information such as iPad use and Club Vitals. e. A training agreement will be provided to each new manager and must be signed off by a current S&C manager at the time of training completion. This agreement should then be submitted to the Coordinator for S&C and added to the employee file.

   

Department of Recreational Sports Strength & Conditioning – Employee Evaluations & Audits

  Purpose: To outline the policies for S&C staff evaluations & audits   Scope: S&C staff    Policy OR Procedure   I. EMPLOYEE EVAUATIONS a. Evaluations are conducted once during both fall and spring semesters in the middle of the semester due to the large volume of student employees in the S&C area. Evaluations are not conducted in the summer semester due to the inconsistency of scheduling during these months. Direct employee contact is more achievable during this time, so any issues needing to be addressed are directly discussed with employees. b. The Coordinator for S&C conducts all evaluations. Manager evaluations are conducted directly by the Coordinator for S&C and the Assistant Director for S&C. Staff evaluations are conducted by the Coordinator for S&C and a student manger. i. For facility technician evaluations, the process is the same, but the Coordinator for S&C is replaced with the Maintenance Foreman. c. There is one single document that is used to specifically evaluate the employee based on the job description and expectations. See employee evaluation documents attached. Other forms of self/peer evaluation may be used to supplement, but these vary from semester to semester in an effort to encourage critical thinking and self-reflection among employees. d. There is a scaling matrix where meets requirements is considered the “A” standard. See evaluation sheets for more information. e. Performance evaluations are added to the employee’s folder (each employee has a folder from the initial hire to the termination of the employee). These folders, including performance evaluations, are kept for three years after the employment has been terminated. II.

SAFETY AUDITS a. Strength & Conditioning will conduct safety audits in First Aid and CPR each semester. Audits are used to evaluate and assess proper knowledge of emergency skills. Audits will be reviewed with the student staff member upon completion. The recommended score for all audits is 80% competency. Audits will be conducted randomly each semester.

ORGANIZATION OF THE CREW ROOM a. All bags, books, and personal belongings must be stored in the crew room during shifts. Nothing is to be kept out at the front desk. Employees are responsible for ALL valuables and personal items. The Department of Recreational Sports is not responsible for lost or stolen property. Employees are encouraged to use the facility’s day lockers if employee locker space is not available. b. Employee lockers are located on the east wall. Use these to help store your belongings. c. Employees should not utilize the crew room to store their belongings if they are not working the current shift. Crew room space is only for employees who are on shift. All other employees must store their belongings in day lockers. d. S&C staff is welcome to use the microwave in the crew room. e. The back southeast corner is kept for the maintenance equipment. Cleaning supplies, paint, lubricants, and extra pads and weights in need of maintenance are kept in this area. It is important to try and maintain a clean floor area in order to reach the appropriate equipment. f. Cleaning towels are located in the crew room. Dirty towels should be placed in the laundry basket, located at the S&C I and/or S&C II front desk. This basket should be emptied for wash, dry, and fold every day. g. The room is to remain clean and organized. Lockers should be kept clean. Personal items are not to be left overnight in the crew room. If any personal item remains in the crew room longer than 1 week it will be thrown out or taken to lost and found.

        Purpose: To emphasize the importance of care and usage of the iPad and the responsibility placed on the user   Scope: S&C staff     Policy OR Procedure    I. IPAD USE a. After completing hourly patron counts & employee shift arrival times, iPad must be returned to the safe in crew room. b. Safe should remain locked at all times. c. If iPad needs to be charged, use charger in S&C 2 office and ensure it is secured. d. iPad should never be left unattended. e. iPad should only be handled and used by the shift manager. f. Personal use of the iPad is not permitted under any circumstances.   II. RESPONSIBILITY AND LIABILITY a. S&C staff is expected to exercise the same care in respect of security and upkeep of the iPad if it were their own property. b. Manager of shift is responsible for returning all parts of the iPad in good condition, including the case. c. S&C staff shall be liable for any and all costs (debts) incurred through their use of the iPad. d. S&C staff shall also be liable for the destruction, cracking, denting, and/or repair of the item. e. Any Malfunctions or damages should be reported immediately to Assistant Director or S&C Coordinator.   III. PICKING UP AND RETURNING THE IPAD a. Enter passcode to unlock safe. b. Document employee arrival times and designated location for beginning of shift. c. Enter patron counts on the hour in Excel sheet. (Begin in S&C 1, S&C 2, track overlook, lobby, pool 2&3) d. Once rounds are completed, return iPad to safe and ensure it is locked.   IV. END OF SHIFT IPAD TRANSITION FROM MANAGER TO MANAGER a. When incoming manager begins shift, its manager’s responsibility to ensure next manager receives iPad. b. Responsibility of the iPad then shifts to current manager on shift.   V. WORK ORDER SUBMISSIONS a. When notified of an issue with a machine and a work order is needed, manager must open QR-Reader Application. b. Login to Club Vitals to check if the order has previously been submitted. c. Photograph the barcode on the machine. d. Provide a quick description of the issue before submission.

SELL A GUEST PASS AT POUND HALL a. Decide if this is a Ramsey Member that is purchasing a guest pass for a non- Ramsey Member or is this a UGA Student, Faculty, Staff or alumni that does not have a Ramsey Membership but wishes to purchase a self-sponsored guest pass. Someone who is not a Ramsey member cannot purchase a guest pass for anyone else, even if they get a self-sponsored pass. b. Click the SALES button at top of screen c. Click Customer tab and enter in the Member’s 81# or swipe their UGA Card d. Click Pound Hall Guest Pass e. You must enter the **GUEST’s NAME** Please ask to see picture ID. f. When prompted “Is the guest accompanied by a Ramsey Center Member?” The answer should be yes. If they are not a current Ramsey Center Member, they CANNOT bring in a guest. g. When prompted “Is the guest over the age of 18?” The answer must be yes as the Pound Hall policy doesn’t allow non-UGA students under the age of 18. h. Click Done i. At this time, you should slide their Bulldog Bucks card (their UGA ID) through the card reader. j. Input the amount of the charge. ($7.00 per guest pass purchased, member can bring in up to 2 guests per day. If paying for 2 guests, total transaction will be $14.00). k. Press the green key. l. Press again for a customer receipt. m. Get the patron’s signature on the first receipt. Keep this receipt to mail to Donna. The patron gets the other. n. Complete the order in Fusion by clicking the Check Out button (top right corner). o. Select Bulldog Bucks as method of payment. (THIS IS THE ONLY FORM OF PAYMENT ACCEPTED AT POUND HALL AT THIS TIME). p. For the Authorization number, enter the Ref Number listed on the signed copy of the receipt and press ENTER. q. Press the Complete button on the right hand side of the screen. r. A copy of the Fusion receipt will print. Have the Ramsey member and the guest sign the waiver portion of that receipt. The guest will need to also print their name under their signature. This form is kept by you and attached to Bulldog Bucks receipt.

If so, give them the guest pass back and they can use it to enter again ON THE SAME DAY. If they will not be returning, throw the guest pass away.

THINGS TO REMEMBER a. The only form of payment accepted at Pound Hall is Bulldog Bucks – NO Cash, check or credit cards. b. Make sure the Host is a Ramsey Center member. c. Only members can bring in a guest, but a UGA student, alumni, staff or faculty can purchase a self-sponsored guest pass but cannot bring in others. d. No one under 18 may use Pound Hall. e. Remember to print a Tender Summary and close out Bulldog Bucks each night. f. If a person does not have Bulldog Bucks, they can purchase an online guest pass at http://shop.recsports.uga.edu/. You CANNOT allow them to do this on the Pound Hall computer but they can purchase it on their mobile device and you can scan the barcode from it. g. Concept II Rowers Tools and Equipment necessary:     

Simple Green 3&1 Oil Phillips Screw Driver (fairly small) or Drill Vacuum Gloves

   

Clean chain with simple green and then proceed to lubricate with 3&1 oil Inspect Chain for stiff links Inspect the chain handle connection for wear Tighten the shock cord is the handle does not return all the way to fan enclosure Check for dust inside the fan enclosure, Vacuum if necessary o Removal of Fan enclosure  *Hint*: When mounting fan enclosure back to row machine, fit the screen on the casing that’s removed from the machine first.  **Hint**: Loosen the screw that connects both sides of the metal screen. Don’t unscrew all the way, but if you loosen the screw the screen will fasten better. Loosen or tighten nuts on the performance monitor

Blow out and vacuum the back, pedals, and shoulders of the elliptical



Lubricate all accessible joints careful to not get oil on the belts
