We installed a access system not too long ago and we just follow the same procedures and policies as if they were physical keys. Those policies already established who to report to, who handles distribution and collection. The only thing extra was we had our staff sign a form stating that in the event it was lost, stolen, etc. they would have to pay $20 replacement cost.

We ask users to let us know ASAP if they lose or break a key fob. All but one door is locked during normal business hours, (including one whole building) so they're usually pretty quick to let me know because they get locked out otherwise. I deactivate it as soon as I find out, so if it does appear again it can't be used by anyone. We just replace it for free, no questions asked, and thank them for reporting the loss to me in a timely manner. I've never really had a user go through them too fast or anything, and since they're like $5 and we bought a bunch in bulk, we have quite a few spares on hand.

I agree with C_J. As a security integrator (and employee who's lost a few badges), I recommend not having a penalty. With electronic access control, it's important to have cardholders notify security as soon as a card or keyfob is lost so it can be deactivated. If you have too large a penalty, employees might hold off a few days in hopes of finding the lost card again. This can be especially dangerous if you issue badges with your company name or logo printed on them.

1. Don't put your company name or logo on them 2. Use first name only 3. Make sure they have a picture 4. Must be displayed at all times 5. People lose them, it happens. Just deactivate the old one.

We had an equipment receipt that they had to sign upon receipt of said fob. Oh, and what ^ he said. Station access security fob Issued to: _______________________ Date Issued: ___________________ I acknowledge receipt of one (1) key fob with serial number ________. I understand that this fob is only for my use and agree that it will not be transferred to, nor allowed to be used by, any other person. I understand that use of this fob will result in my access to the building being tracked. I understand that I am liable for the replacement cost if the fob is lost or damaged. I will notify the Chief within 24 hours of losing the fob , or any damage to the fob which renders it inoperable. I will not mark or deface the fob in any way. This fob is the property of the Township of Clinton Division of Fire, and will be returned on or before resignation, termination or at the request of the Chief.
