Not a Gmail user? Don’t worry, we have got everybody covered. You can use SalesHandy with any email account using SMTP configuration. This has more steps but you can use any email account you want. Configure your outlook or any email account using these steps: SalesHandy >> Settings >> SMTP Settings & set manual SMTP settings. We have taken a Gmail account in this example but you can send mail merge campaigns using your Outlook or any email accounts as well.

Step 1: Login To SalesHandy (http://app.saleshandy.com) >> Home >> Mails >> Mail Merge Campaign >> Create New Campaign

Step 2: After hitting “Create New Campaign,” you will be directed to the main campaign screen as show below:

Campaign Title: It will help you identify the campaign purpose in later stage. It is for user convenience & it won’t be seen to recipient at any stage. Hence, you can name it as per your need. For ex. Reseller Cold Mail Set 1, Reseller Cold Mail Set 2 etc.

Add / Select Recipients List: How will you add recipients/mailing list? For that, you have to Upload a Comma Separated Value (CSV) File. OR If you have already uploaded a CSV & want to use the same mailing list again, simply select the second option “Choose a previously uploaded file” & Select the mailing list of the recipients you want to send a personalized email. One can create the CSV file using Excel or any other spreadsheet application. Add columns to the first row with titles. i.e First Name, Last Name, Email Address, Location, Message Etc. These titles will become “Mail Merge Fields” which will personalize your emails. Note: The first 4 columns in your CSV file are mandatory (do not change the value i.e FirstName, LastName, Email, Company), you can put custom fields from 5th onward. Also, do not leave rows between the titles and data.

Select From Address: You might have set up more than one Gmail account with SalesHandy or you have Gmail as well as Outlook or other email accounts with SalesHandy and that’s where “Specify message sending method” option comes in. You can choose the account you want to send that specific Mail Merge campaign from. Note: Sending via Gmail gives highest & assured opening rate. Also, reply tracking is only available for Gmail users.

Subject & Email Body: Enter desired email subject & body in the respective fields. You will find the mail merge fields as uploaded in the CSV between Subject & Content field. Select the mail merge fields you want to add in the content or subject line. Tip: It is advisable to insert the fields by clicking on the fields available under “Mail Merge heading”. Manually typing opens up the possibility for errors ar fields are both case sensitive & space sensitive.

Preview & Test: Once completed the above steps, to check if fields have been placed perfectly or not, hit the “Preview” button or Send Test Email before sending out your Maile Merge Campaign.

No. of Email Opened You can measure the campaign success from this figure. It will show you the total number and percentage of emails opened by your recipients. No. of Clicks You will get a data of the total number of link clicks made by all recipients. This is useful to know who among your recipients are interested in what you have to offer. No. of Recipients Replied As stated previously, a reply can be tracked only if mail merge campaign is sent via Gmail Account. Measure the performance of an email campaign by the number/percentage of replies you get. Document / Attachment Opening One can know if the attachment, sent in the mail merge campaign, has been opened or not & how much time your recipients spent on each page of the document. This way one can find out the hot prospect which can be converted easily.
