IV. Smart Account and Virtual Account Highlights







When you are logged into the License Registration Portal, keep in mind that with the Smart Account and Virtual Account availability you have the option to manage your licensing assets from two different instances. The first is logging in with your personal CCO ID, this means that you are initiating and requesting changes and updates to both Smart Accounts and Virtual Accounts as a user. Second, is logging in as a Smart Account admin. After you log in with your CCO ID, select the Smart Account you have been assigned access to (as shown on this image), you will be able to manage all your licensing assets from a Smart Account perspective, including managing any Virtual Accounts under that particular Smart Account. Access to Smart Accounts and Virtual Accounts varies among users depending on what they are assigned. Keep in mind that the License Registration Portal functionalities are the same in both scenarios; you are simply executing the options from different user views. b) If the user has already created and set up a Smart Account 3. Once you select the Smart Account, you will be able to view and manage PAKs/Tokens, Licenses, Devices and Transactions History related to this specific Smart Account. 4. You can select a Virtual Account that is associated with your Smart Account. Click on Select One and select the Virtual Account you would like to navigate within. 5. If you do have a Smart Account associated with your CCO ID, you will view a drop down option. This drop down will allow you to select the Smart Account you wish to navigate to. Select your Smart Account to proceed.

c) What is a Virtual Account Selector?

1. When you log in with your CCO ID, you can select the Smart Account you are associated with from the user drop down menu on the upper right hand side of the LRP. 2. After you have selected your Smart Account. The Virtual Account “Select One” drop down will display all Virtual Accounts that you as a user are associated to within the Smart Account you initially specified. In the example below, we are part of the SMART_CISCO_US Smart Account and within that account we have several different Virtual Accounts represented by states and zones such as California, Florida, New York, Texas, Northern Zone, and Southern Zone. V. How to: Register, Load and Assign PAKs in LRP

a) Register and Fulfill a Product Authorization Key (PAK)



1. Enter your Product Authorization Key (PAK) in the Get New Licenses from PAKs or Tokens field. 2. Click on Fulfill button.



3. A Pop up screen will display the contents of features represented by your PAK where you can also select the Virtual Account. 4. You can also select SKU quantities. Select any specific quantity of any feature or for convenience you can choose to assign all quantities. 5. All quantities will be assigned if you choose the option All Quantities. 6. Click on Next to proceed further.

a) Register and Fulfill a Product Authorization Key (PAK) Continued 7. Once you have selected the feature Specific Quantities, you need to provide the quantity details to be assigned. Click Next.



8. Depending on the product you are attempting to license, you will then enter the product ID information (this could be a PID) and Serial Number. 9. Click Next.

10. Agree to the Terms and Conditions and review the information on the page. 11. Click Submit.



12. The LRP will process your request designated by the progress bar.



13. When complete, you will receive a License Request Status message for confirmation. The license has been sent to the email you designated. In addition, you are able to download the license produced from this pop-up status message by clicking the Download button.

Note: Along with the option of downloading a license, as mentioned, the license is also emailed to the user’s email account. Users are able to specify additional email addresses as needed.

In many cases, opening the email will reveal a zip file that contains the License file as well as instructions on how to install the license.

b) Load and Assign a New Product Authorization Key (PAK) to a Smart Account Smart Account View 1. To register one or more PAK’s, select the PAKs / Tokens Tab. 2. Then, click Actions and select Add New PAKs / Tokens from the drop down menu.

3. The Add New PAKs/Tokens pop-up appears where you need to select the Virtual Account. 4. After Virtual Account is selected then enter your PAK(s) or Token ID(s). Note: You may make multiple entries (10 max) by separating each with a comma. 5. Click Submit after entering the details.

6. After the PAKs are loaded, they are available for fulfillment and appear under the PAKs tab with an Unfulfilled Status. To initiate fulfillment, left click the mouse over any PAK and the option to Get New Licenses appears. Another method is to select the checkbox next to the PAK you wish to use and then click on the Actions option. The Get New Licenses option appears in the drop down menu.

c) Assign an existing Product Authorization Key (PAK) to a Smart Account and Virtual Account CCO ID View There are two ways to associate a PAK with a Smart / Virtual Account: 1. Login with your CCO ID, find the correct PAK and choose Assign to Smart/Virtual Account.

Left click an existing (partially fulfilled or unfulfilled PAK) and choose Assign to Smart/Virtual Account

2. Select a PAKs check box and select from Actions dropdown Assign to Smart/Virtual Accounts.

d) Assign a PAK to a Smart Account and Virtual Account during fulfillment a) When initially choosing to fulfill a new PAK you can specify Smart / Virtual Account that you wish the PAK, License and Device to be associated.





b) After entering PAK number and selecting Fulfill the next Modal will allow Smart and Virtual Account assignment.

VI. How to: Manage and Assign Smart Accounts, Virtual Accounts and Smart Entitlements Overview 1. When you first log into the Product License Registration Portal (LRP), you will have option to view your account from a user perspective, as well as from a Smart Account/Virtual Account perspective. Navigate to the dropdown menu (1) as shown below and any Smart Account associated to your CCO ID will be displayed. a. From user perspective – you will see the licensing information that is available only to you under PAKs/Tokens, Licenses, Devices and Transaction History tabs. b. From a Smart Account perspective – you will see information about PAKs/Tokens, Licenses, Devices and Transaction History for ALL users associated to that Smart Account (2) or specific Virtual Account (3).

Log in under your CCO ID (or Smart Account). From Licenses tab, locate the license.

1. Log in under your CCO ID (or Smart Account) and from Devices tab, click on Add Device.

d) Assign Smart Account and Virtual Account during Return Material Authorization (RMA) & Rehost Choose the Account

Log in under your CCO ID and from Devices tab, locate the device to initiate a RMA, Rehost or Migration

a) Under the Devices Tab, click on menu “Actions” and select sub option “RMA”





b) The product selector pop-up window appears as below. Select the required product family from the list provided.

c) Provide the required information (Product ID and Serial number) as below. Note: Inputs to this form will vary depending on the product family selected in the earlier step.



d) Enter the replacement device information (UDI Product ID and Serial Number). Then enter the RMA number (provided when the device was reported as failed). Click Next.

e) Accept the license terms by checking the box. Complete the Send To and End User information, review the summary and click Transfer.



Again, the process bar appears and a success message appears. A new license is made available for download as well as emailed to the designated addresses.

e) Assign Smart Account and Virtual Account in Demo during Evaluation License requests 2. 1.

From the Get other Licenses dropdown menu, select the Demo and Evaluation option

After selecting the product, you are able to associate the resulting licenses with any Smart Account and Virtual Account you have available to select from

f) Assign Smart/Virtual Account During “Add New PAKs/Tokens” Workflow 1.

From the PAKs/Tokens tab click Add New PAKs/Tokens

Select the Smart Account/Virtual Account fields. Enter between 1-10 PAKs or Token IDs(separated by a comma).

Click Submit









g) Assign/Reassign Smart/Virtual Account for Token 4.

From the PAKs/Tokens tab find the Token you would like to Assign/Reassign, click the menu icon and select Assign to Smart/Virtual Accounts

Select the Smart Account/Virtual Account fields, review the work is correct

Click Assign

h) Assign Smart/Virtual Account During Token Consolidation Workflow 7.

From the PAKs/Tokens tab find the Tokens you would like to consolidate, ensure they are from the same product family, and are not fulfilled already.

Select the Smart Account/Virtual Account fields, review the work is correct

10. Click Submit

From Actions Dropdown menu, select Consolidate Selected Tokens









i) Assign Smart/Virtual Account During Token Fulfillment

11. Under Get New Licenses enter anywhere from 1-10 tokens (separated by commas) and select Fulfill

12. Select the Smart Account/Virtual Account fields, select the quantity to Assign 13. Click Next, then Assign to Devices (serial number needed) review info and Finish

j) Convert Device licenses in LRP to Smart License Entitlements in Smart Software Manager (SSM) 1. Select the Devices tab to initiate the device license migration. 2. Locate the device (based on the Device/Product Instance ID) that contains the licenses you wish to migrate to Smart Entitlements. 3. Click on the device s/n and select Convert to Smart Entitlements.



4. A call out banner will appear notifying you that upon Smart Conversion, these entitlements will no longer appear in this portal. 5. Select the Virtual Account you wish to deposit the Smart Entitlements into. Note: If you have access to more than one Virtual Account, select the desired account from the Virtual Account drop down list. No multiple Virtual Accounts is allowed. 6. Once you’ve selected the Virtual Account, click on the OK button to proceed.

7. When complete you will receive a message indicating success. Please note that this process will remove your devices licenses from this License Registration Portal and deposit the Smart Entitlements into your Smart Account.



8. You will receive a confirmation email indicating success or failure.



9. After the license migration is complete, the Smart Entitlements will be reflected in the user’s specified Smart Account within Cisco Smart Software Manager (CSSM).

k) Convert PAK License SKU’s in LRP to Smart License Entitlements in Smart Software Manager (SSM) 1.

Select the checkbox under PAK/Token ID and choose the PAK License you wish to convert

Left click on the PAK and select the Convert to Smart Entitlements option OR select from the Actions Dropdown

5. A pop-up window displays a table with the list of licenses available for conversion to Smart Licenses. Please note: the table shows a maximum of 10 lines of information. If the table has more than 10 lines, scrolling will be enabled. 6. Select the radio button next to the Device to convert the licenses. Please note: only one device can be selected at a time for the conversion process.

7. Select the check box next to the license for conversion. Please note: more than one license can be selected at a time. To convert all the licenses, select all the check boxes. 8. Enter the number of licenses to convert. 9. Click the Submit button.

VII. How To: Retrieve Existing Licenses There are several ways to retrieve an existing license. 1. One method is to click on the License tab under the Manage section. This populates a list of all your registered licenses.



2. To find all the licenses associated to a particular product, select the Filters option a. Populate one of the query fields. In this example, we use a query on the Device Product ID, then, click on Apply to sort the results.

Once you click Apply, the list of all licenses appears for that device, sorted by Date. The most current licenses are listed first at the top.



3. Left clicking your mouse over a specific License ID provides a drop down menu that offers various options including Download or Resend the license. Selecting the Download option downloads the license to your laptop or system.

4. If we selected the Resend option, the Resend License pop-up window would appear displaying the license ID. Clicking Resend sends the requested license to the user account’s email address.





5. A License Request Status message appears and a green check designates a successful operation.

VIII. Add a Device to your Device Table This is for non-Smart Account users who have yet to setup their Smart Accounts and Virtual Accounts in the Product License Registration Portal (LRP). When you need to retrieve an existing license or move licenses through Rehost or RMA associated to a device (not visible in your Licenses/Devices tab view of LRP), you are able to do so by Adding the Device to your device table. a) To add a device to your device table, click the Devices tab under the Manage section. b) Select Add Device.



c) Once you click Add Device, a pop-up window appears. Here, you can either enter the Product Family or Device Identifier. Note: In case you choose the product family the System will automatically set the Device Identifier and prompt you for the Node lock information to be keyed in.

d) Complete the fields with the necessary Product Family information and the corresponding Device Identifier values. e) Click OK.



f) To locate the added Device, use the Filter option and search for the Device ID and Product family information. The results will bring up this Device as shown below.

This is for Smart Account users who have setup their Smart Accounts and Virtual Accounts in the Product License Registration Portal (LRP). All the steps to Add a Device for Smart Accounts users remain the same as previous steps listed above for non-Smart Account users. The primary change will be having the two options to select a Smart Account and Virtual Account as shown below.

IX. Available Device Identifiers and Product Family Mapping

For users who are adding a Device using the Device Identifier option vs. using the Product Family option - please refer to this list below to find which Device Identifier to be used for the product. Device Credential Definitions

• License File: Select this option if you are using a Flex LM product (Flexera Technology). This license file would have been received via an email when the PAK was fulfilled.

• Device Credential: Select this option if you are using a Sentinel product (SAFENET Technology). This credential is provided by the device via the admin function.

• UDI PID/SN: This option is used for IOS/Sentinel devices in case the device credential is not available. Choose Device Identifier as UDI PID/SN and key in the UDI PID and Serial number of the device and click on OK.

• DCM/D9036/D9859/RFGW/ROSA: Select this option if you are using a Legacy Scientific Atlanta product (now known as SPVTG), this will require the UDI to be entered in the ‘UDI Host ID’ field.

• Node Lock: This option is used if you are using ASA 5500 Series or NEXUS or Ironport

product. Chose the device identifier as Serial number /Device identifier located on the device (It is the PCB serial number in case of ASA device).

• License Request: Select this option if you are using a FNE product (Flexera Technology). This credential will be received in XML format from the PLM server.

• ASR5000/ASR5500: Select this option if you are using ASR5K. This represents the device identifier.

• TelePresence SN (formerly Tandberg SN): This option is used if you are using a Tandberg device. This will require the Universal Device Serial number.

• Cisco FirePOWER License Key: Select this option if you are using a Sourcefire Product. This represents the License Key of the Defense center.

• Cisco UCS Invicta: This option is used if you are using Cisco UCS Invicta product. It represents the serial number/device identifier located on the device.

a) The following Sentinel products can be added via following Device Identifier: Device Credentials or UDI PID/SN. Select either the desired Sentinel product and the Device Identifier will default to UDI PID/SN…

X. How To: Transfer Features to a Token 1. Initiation of a secure transfer of features to a Token can be initiated from either the Devices tab or the Licenses tab both under the Manage section. For this example, we’ll go ahead and use the License tab. 2. Select the License tab, and use the Filter option to sort and search for a specific Device. In this example, we’ll go ahead and select the most recent license generated for this device, which is at the top of the list (by default the most recent license will be at the top when filtered and sorted). 3. Hover over the desired License ID and left click your mouse. Then from the drop down menu, select the Rehost / Transfer function.









4. A pop-up window appears with a list of available features for transfer on the selected license. Designate the quantity of each feature you would like to transfer. Click Next when finished. In this example, we are taking a quantity 200 away from the LDCM-COP3.

5. Once you click Next, You’ll need to check the box to Agree to Terms and Conditions. Your Send To and End User fields should be prepopulated. Review the summary of transfer quantities and select Submit.



The process bar appears and once completed, the License Request Status pop-up window appears with a green check mark. You have just created a new downgraded license and the features you transferred (in this case quantity of 200) have been moved onto a Token. From here, you are able to download the downgraded license or check your email for the downgraded license.



In order for you to receive the Token with the transferred features and prove you have downgraded the license, you must upload the downgraded license to your device/product. In this case we are working with a DCM product. Displayed below is the device/product displaying the current license (not downgraded) Notice the 860 count for the COP3 feature. 6. Upload the downgraded License just created under the Update License File field by clicking the Choose File button. Once you’ve selected the downgraded license from your system, click Update.



Note: The license reloads and the new license will display for the product. Notice the new count of 660 for the feature we selected to transfer from.

7. Next, take note (copy and paste) of the Validation Key. You will need to take the new Validation Key back to the licensing portal and complete the secure transfer process to receive your Token.

8. Under License Tab, click on the Actions option and select Complete Secure/Rehost/Transfer from the drop down menu.



A pop-up window appears allowing you to complete the Upload Re-host Ticket Process. 9. Identify the Product Type, Product ID (Serial Number), and the new Validation Key just created (recommended to use the copy and paste function). The Sent-To and End User fields are pre-populated, agree to the terms and conditions by clicking the checkbox, then click Submit.



After successful validation, the below message will be displayed:

You will then receive an email to the designated email address(es) with the Token ID.



Offline Device and Unable to Provide the Required Credentials, use the RMA Process If the device is offline and the user is unable to provide the required credentials, the RMA process can be performed as follows: 1. Under the Devices Tab, click on menu “Actions” and select sub option “RMA”

2. The product selector pop-up window appears as below. Select the required product family from the list provided.



Provide the required information (Product ID and Serial number) as below. Note: Inputs to this form will vary depending on the product family selected in the earlier step. 3. Enter the replacement device information (UDI Product ID and Serial Number). Enter the RMA number (provided when the device was reported as failed). Then, click Next.

4. Accept the license terms by checking the box. Complete the Send To and End User information, review the summary and click Transfer.

XI. How To: Find your Transaction History 1. To view your Transaction History, select the Transaction History tab. 2. Select the desired Transaction ID.
