Updating Progress Notes IEP goal progress must be updated on the same schedule as Report Cards. There are TWO examples below demonstrate how to update. 1. Example one is for a locked IEP with no previous progress notes. 2. Example two is for a locked IEP with previous progress notes.

TO START Step 1 – Find the most recent locked IEP which may be an annual, periodic or amendment.

Step 2 – Locate the Goals page from the last locked IEP and click to open. This is the only page in a locked event that can be opened for editing. (Please note, these pages may be printed by selecting the print icon to the right of the page).

Step 3 – Each goal area of need can be opened to add progress notes. In this example, 5 goal areas need to be updated.

EXAMPLE 1 – After opening a goal area, no previous progress notes are visible

Step 4 – Click on the NEW box to create a new progress note.

Step 5 - Users may now enter the new progress notes in the white boxes below. On this page, it is possible for users to ‘click faster than the system can respond’. If users click too fast, data may be lost. IT IS STRONGLY RECOMMENDED USERS STRICTLY FOLLOW THE SEQUENCE BELOW TO ENSURE DATA IS NOT LOST. A) Enter the last day of the quarter in the date box. B) Before selecting the progress code, move your mouse to the area outlined by the ‘red box’ in the example below (this red box is for your reference, there is no actual red box on the screen). C) As the system processes your request, your mouse/arrow icon will change to an HOUR GLASS icon. Wait until the hour glass changes back to the arrow, and then proceed. If users wait for this, data will be saved. D) Check the appropriate progress code. E) Move to the red box area; and wait for the hour glass to change back to an arrow. F) Enter the Description; and click on SAVE. G) Move to the red box area; and wait for the hour glass to change back to an arrow.

Step 6 - When done, LOCK the progress note by clicking on the gold key, then select SAVE AND RETURN to proceed to the next goal.

EXAMPLE 2 – After opening a goal area, previous progress notes are visible

Step 7 – If the previous progress note has a silver key, the NEW button will be available and proceed to step 8. If the previous progress note has a gold key, it must be LOCKED before the current progress note can be entered. Click on the gold key to lock the previous progress note.

Step 8 – Now that the previous progress note is locked, the NEW box appears to let users create a NEW progress note for this quarter. Click NEW.

Step 9 - Users may now enter the new progress notes in the white boxes below. On this page, it is possible for users to ‘click faster than the system can respond’. Step 10 - When done, LOCK the progress note by clicking on the gold key, then select SAVE AND RETURN to proceed to the next goal.
