Wire Transfers 7 Easy Steps 1

Login to the bank’s website and enter your User ID in the Account Login for Business.

Password: Enter your Password PIN: Enter your Token Password and PIN received from your Token Device

Click on your BusinessLink profile Click on Payments tab and select Access ACH/Wires. A new pop-up window will appear taking you to the BusinessLink Corporate Home Page. Click on Wire Transfer tab.

Create a profile if a profile hasn’t been created for the Wire you are initiating. ***see details in the guide on creating profiles.

If you are initiating a single Wire Transfer, click Create Single Transfer from the menu. If you would like to initiate multiple repetitive Wire Transfers, click Create MultiTransfer from the menu.

Enter the Wire amount and if necessary, enter/change beneficiary information, additional information, corresponding bank information, and intermediary bank information. Click Submit ***All deposits received by 4:00 P.M. will be originated on that day’s business.

Introduction Wire Transfer through BusinessLink provides you the ability to send and receive funds between accounts that reside at the same bank or different financial institutions. Users must be assigned permissions by the bank in order to have access to the Wire Transfer link in the main navigation. If you need to add access for Wire Transfers to a user, please contact your Commercial Banking Services Representative at the bank and they will assist you. The Wire Transfer function allows access to the following: • Wire Summary • Create and Manage Wire Transfer Profiles • Create Single Wire Transfers • Create Multiple Wire Transfers • Create and Print Reports • Create and Manage Approval Structures for all Wire Transfers System Requirements • Microsoft Internet Explorer 7.0 or higher browser software • FireFox 18 or higher browser software • Safari 6 or higher browser software • Adobe PDF Viewer Data Archiving BusinessLink database retains your financial information from the past 30 days to 18 months, depending on the data type. To keep a record of your statements as well as balances, transfer and other reports, you can easily export information to storage media.

Understanding the Icons The Wire Transfer system utilizes icons throughout its application. Icons provide a quick and easy way to access the most commonly used commands. To learn what an icon is for, rest your mouse over the icon to display the icon name. Icons that appear washed out are not available for the current function. Often, selecting a record will activate the icon for use. The tables below describe the icons that may be unique to specific functions in BusinessLink Corporate.

Purpose/Navigation Displays the add page for you to add a customized definition i.e. Create New Profile. Deletes the highlighted row(s) from the summary page. The button is disabled if a row is not selected. Displays the modify page so an existing customized definition can be modified i.e. Modify Wire Profile. Displays the detail page of selected row.

Refresh

Updates the table with the most recent data from the bank.

Find

Displays the FIND page for you to search for a value in a specified column or all columns. Creates a record from the settings used in the highlighted row i.e. Create new profile based upon highlighted row. Displays the environment settings for the summary page for you to view and modify the filter, column, and sort settings. Displays the calendar for the current month and year. From the calendar, you can select another month, year and day. Prints the data in the table.

Wire Transfer Status Examples Description Wire Transfer is queued for pickup from the bank. BusinessLink has submitted the Wire to the bank for processing. The bank’s Wire Transfer processing system recognizes the Wire and will queue it for further processing. The Wire Transfer was successfully processed. Wire Transfer was not processed – ABA number could be incorrect, account may not enough funds, etc. Wire Transfer awaiting approval before being queued for processing. nd

Our bank utilizes an added layer of security known as Multi-factor authentication. Multi-factor authentication is a term used to describe an authentication mechanism where more than one piece of information is required to authenticate a user. We have chosen a small, digital token device to provide users with a random code that changes every few seconds. The user utilizes this unique code, combined with his or her User ID and Password, to access Business Online Services. Your User ID in combination with your password and the PIN number displayed on your token device will grant you secure access once you have been “authenticated”. Below is an example of the token you would use to gain your PIN number.

Click on Payments tab and select Access ACH/Wires. A new window will appear which takes you to the BusinessLink Corporate home page.

Home Page BusinessLink Corporate is the BusinessLink module for Wire Transfers and ACH. A new browser window will open when you click on the link. Depending upon the permissions you have been assigned will determine the navigation you see. • • •

Users with administrative capabilities will see the Administration link. Users who can create and submit Wire Transfers will see the Wire Transfer link which is the link you would use to initiate and approve Wire Transfers. Users with permissions to originate ACH transactions will see the ACH link.

To initiate and approve wire transfers, you will need to click on the Wire Transfer tab.

The Message and Alerts Center are ways for the bank to communicate specific information regarding wire transfers or ACH.

Summary Page Use this page to view a list of wire transfers and their associated status. You can use the summary bar to search and/or sort transactions based upon specific information. Use the scroll bar to scroll over and see additional information about the wires you’ve submitted. Below is a list of the status headings listed on the summary page and a definition of what each mean.

Summary Page Headings Process Date: Date on which the item is to be processed by the host system. Entry Date: The date upon which the transfer information was entered into the system. Value Date: The date that the transfer is effective at the sending financial institution. It is automatically set to a non-editable current date if future value dating is not provided. Status: The stage of the Wire Transfer.

Type: The type of wire transfer—non-repetitive, repetitive, semi-repetitive, standing order (see Profile Types in this guide for more information). Sending Account Number: The identification number and descriptive label assigned to the account providing the money for the transfer. Sending Account Name: Name assigned to the account. Beneficiary Account Number: The numbers that identify the account that receives the wire transfer. A maximum of 34 characters can be submitted. Sending Account Currency: The abbreviation for the monetary unit used by the account (USD for U.S. dollars). Beneficiary Account Name: The label used to identify the recipient of the Wire Transfer Transfer Currency: The abbreviation for the monetary unit used by the account (USD for U.S. dollars). Amount: The monetary value of the wire transfer. If the payment profile or user limits permits, a total of 15 spaces are provided for digits, commas, and a decimal. Tracking Number: The number assigned to the wire transfer after the transfer is entered into the system. Confirmation Number: The number assigned by the financial institution’s host system, which verifies the transfer. Payment Profile: A payment profile is a template for creating wire transfers. Payment profiles are used to group accounts and /or users that have similar characteristics. A payment method is assigned to a payment profile. Entry User: ID of the user who entered the wire transfer into the system. Message: Message text associated with selected wire transfer item.

Creating Profiles The first step in submitting wire transfers is creating a Wire Transfer Profile. The non-repetitive profile allows the user to key in specific information each time they wish to initiate a wire. A semi-repetitive or repetitive profile can be created for a wire that is sent on a regular basis to the same financial institution and beneficiary account. For a full description of the different profile options available, please see the next page.

Click the Wire Transfer link to create a “Wire Transfer profile”.

From the Summary screen, click on the Profile Maintenance tab to create a “Wire Transfer Profile”.

Profile Types Profile Types

Use to Initiate

NonRepetitive

A free-form wire template, where all of the information will be manually entered each time a wire is created.

Repetitive

Repetitive wire transfers are convenient if funds are moved regularly between two specific accounts. A recurring wire transfer that has the same financial institution and beneficiary information each time the wire is created. You can change only the dollar amount being sent each time.

SemiRepetitive

Use the semi-repetitive wire transfer when initializing the same basic transfer with only slight modifications. While these wire transfers also consist of predefined information, parts of the wire may be changed in addition to the dollar amount. Editable fields would include: Dollar Amount, Beneficiary Information, Beneficiary Bank Information, Correspondent Bank and Intermediary Bank Information.

Standing Order

Use a standing order for a repetitive wire transfer that will always be sent automatically at a regularly scheduled interval (i.e. weekly, monthly, etc.) and with a predetermined amount.

Creating a Non-Repetitive Domestic Wire Profile On the Profile Maintenance tab, click on the icon to create a new profile.

Enter the Profile Name (1-15 characters, may include alpha and numeric) that describes the profile being established. The Description field will help to describe the profile being set-up (1-50 characters, may include alpha and numeric). Select Non-repetitive as the Profile Type and identify in the Payment Method field if it is a Domestic or International Wire NOTE: Please enter the information in ALL CAPS. Also, it is not advisable to use special characters (%, $, #, etc).

On the Permissions and Approval Structure section, select the users who can create Wire Transfer payments for this profile by placing a check mark in the Create Payment box.

If approval will be required for this profile, click on the drop down box to select an approval level for users you wish to designate as approvers. If no approval is necessary, leave the approval level set to None. Note: Please refer to the Approval Structure section of this guide for more details.

The Assignable Accounts section designates the accounts from which the funds can be withdrawn from for this Wire profile. Select the account(s) in the Available column that are to be assigned and click the Add icon to move the selected account(s) to the Assigned column. If you would lie to select all of the accounts, you may use the Add All icon to do so. For Non-Repetitive Profiles, Sender/Receiver and Other Parties information is not accessible. Click Save

Your Profile has now been created and added to the list of profiles.

The FI ID is the Beneficiary Financial Institution (FI) – the final destination Financial Institution. If you know the FI’s routing number (or ABA number) enter that in the FI ID field. Or you may enter the FI Name in the field provided. Click the Select FI box.

This will give you a pop-up screen to search a predefined list of financial institution names and ID(s). Only United States Financial Institutions are listed; you cannot search for International Financial Institutions. When you locate the Financial Institution, double click on it and the information will be populated in the FI fields. If you do not see the Financial Institution you are looking for, please contact the bank.

On the Schedule Info section, use the drop-down menu for choosing the Frequency and Generate Date for scheduled wires. Enter the Begin Date and End Date. Choose a Substitute Day if the event the date the payment is scheduled to generate is not a normal business day. When finished, click Save.

Select the Sending Account Number and enter the Amount for the Wire profile you are creating. You will have the ability to edit the amount later when creating the Wire payment.

Enter the Beneficiary Information. Beneficiary Name and Account Number are required fields based upon the Bank Secrecy Act. You will also need to choose BIC/SWIFT from the dropdown menu for ID Type and enter in the BIC/SWIFT code on the International beneficiary bank. For assistance in locating an International BIC/SWIFT, visit: www.swift.com/bsl/search.do

On the Other Information section, you may enter any optional information in the Additional Information fields. You have the ability to edit this later when creating the payment.

Click on the Other Parties section to see the Correspondent Bank information which is prepopulated.

On the Schedule Info section, use the drop-down menu for choosing the Frequency and Generate Date for scheduled wires. Enter the Begin Date and End Date. Choose a Substitute Day if the event the date the payment is scheduled to generate is not a normal business day. When finished, click Save.

Creating a Wire Transfer BusinessLink Wire Transfer allows you the opportunity to initiate Wire Transfer requests at any time. You can create a single Wire Transfer request or send multiple Wire Transfers at one time. Note: The Multiple Wire Transfer option is used in conjunction with repetitive wire profiles.

Create a Single Wire Transfer

Click Wire Transfer from the main navigation bar.

Click Create Single Transfer from the sub navigation bar.

Use the drop-down list to display all active Wire profiles and choose the Profile name that is appropriate for this transfer. Click the Next button. Note: If there is only one Profile created, then it will go directly into the Add Single Transfer screen and skip this page.

Enter in the Amount you would like to Wire Transfer. In the Other Information section, you may add Additional Information if necessary. Click OK.

Click Ok.

Verify that all the information is correct. If all information is correct, click Submit & Continue to submit more Wires or Submit & End if you don’t have additional Wires to submit. Otherwise, you may click Modify to modify information on this screen or Cancel to cancel the transfer you are working on.

Create Multiple Repetitive Wire Transfers

Click on Create Multi-Transfer to display the Create Multiple Repetitive Transfers page.

To create a repetitive transfer you must:  Select a repetitive Profile from the drop down menu  Select a Value Date from the calendar pop-up  The Process Date will be auto-filled  The Currency will be autofilled  Enter a Transfer Amount  You are not allowed to edit the Reference field  The Sending Account field will be pre-filled, based on the information contained in the profile selected  The Beneficiary Name and Beneficiary Account Number will be pre-filled, based on the information contained in the profile selected Repeat the above steps to create up to 10 Wire Transfer requests from the page. Approval Structures Within Profiles The Approval Structure allows a Company Administrator the ability to set-up dual control for each wire sent based on dollar amounts. Plus BusinessLink provides the flexibility to set the number of required approvers for each wire transfer. Users that have been granted approval capability will need to review wire transfers in order for them to be processed. The Approval Structure is established in the profile of the wire transfer. The Approval Structure can be set up in any of the following ways:  No Approval Required – all wire transfers created using this profile, regardless of dollar amount are automatically queued for processing with no approval required.

Approving a Wire Transfer The multiple transfers you created are now displayed on the Multiple Transfer Status Update page.

Click on the Wire you wish to approve. You now have the option to perform a Quick Approval or View and Approve the Wire Transfer. You should simply click on either icon. A Quick Approval allows the individual to approve the Wire from this screen without having to open up the entire Wire to view it first. View and Approve allows the approver to open the Wire and view all fields completed within the Wire and allows for modification of the Wire if necessary.

Description Approves the currently displayed wire transfer and displays details of the next wire transfer selected in the summary page. If Blind Key Verification is required, type the amount of the transfer that matches the amount stored in the database for the transfer. Once all wire transfers are approved, the Wire Transfer Approval Summary page displays. The just-approved wire transfers are not shown. Displays the Modify Wire Transfer page showing the wire transfer you were reviewing for approval. Click Modify to display the next transfer selected for approval. When all wire transfers have been modified, the Wire Transfer Approval Summary page displays again. Moves to the next wire transfer without approval or review. Click Cancel to close the current page and display the next wire transfer selected for approval. When all transfers have been reviewed, the Wire Transfer approval Summary page displays again.

To meet your unique reporting needs, you can also define customized reports through the use of report definitions. When you create a report definition, you specify the criteria that records in the database must meet in order to be included in the report. Once you create a report definition, it appears on the Wire Transfer Report Summary page. From there, you can manage your reports. You can also view report details, preview the report, and print a specific report.

Create a Report:  In the Report Type field, choose between Summary or Detail  In the Report Identifiers field, specify a Report Name and input a Report Description  Define the filters and criteria to be set for the selected report  Under Report Sort, choose how you would like to sort the report data

 Click Preview If you would like to save the report you created, click the save button.

A pop-up will appear with a PDF printer friendly report displayed. You may print or save this report for your records. Remember to properly print and store confidential documents in a secure location and properly destroy documents when no longer needed.

Administration The administrator has the ability to view audits of what their users have performed within the system. Only administrators will have access to the administrator tab.
